Start with the tax regime, not the file format

Making Tax Digital for Income Tax concerns eligible sole traders and landlords in Self Assessment. Its qualifying income test is not a VAT registration test and should not be applied to a limited company as though it were a sole trader.

Check income from self-employment and property against the relevant tax year, and check HMRC’s exemption rules. The phase dates are shown below in the UK milestones page.

Check the invoice before it reaches the ledger

UK invoices need an identifying number, supplier and customer details, a description, supply and invoice dates, amounts and the total due. VAT information is required where applicable; a VAT invoice has additional requirements.

For a useful internal review, also match the supplier to the purchase record, distinguish an invoice from a credit note, and investigate duplicate numbers. A readable document can still contain a wrong amount or refer to a different transaction.

GOV.UK — What invoices must include

A document archive and a digital tax record have different jobs

MTD for VAT normally requires specified records to be digital unless an exemption applies. Where software packages are used together to keep records and submit returns, HMRC requires digital links; copying and pasting between them is not a digital link. VAT records generally need to be kept for at least six years, with longer rules for certain schemes.

Keep the original invoice linked to the reviewed accounting entry. Before adopting an export, have the accountant check the receiving software, field mapping, credit-note treatment and correction path. OCR output alone does not prove a compliant end-to-end process.

HMRC — Keeping VAT records

Separate preparation, review and submission

HMRC’s Income Tax workflow includes digital records, quarterly updates, adjustments and a tax return through suitable software. Assign each responsibility explicitly rather than assuming that forwarding receipts completes the tax process.

Suggested team control: name who resolves missing evidence, who approves tax treatment and who performs the submission. Keep unresolved questions visible at handover. Yelnitax’s preview does not perform any of these official submissions.
