From a VAT invoice to an accountant-ready handover
Design a document queue that keeps missing information and digital-link decisions visible.

Organise by the next decision
A folder of PDFs answers where documents are stored, but not which documents can be booked. Try three review states: ready, waiting for supplier information and waiting for accountant judgement. Give each exception an owner and a reason.
This is a suggested working method, not an HMRC-prescribed status scheme. Keep the source file attached to the review so the next person can check the conclusion without asking for the same invoice again.
Review the details that affect the handover
Check the invoice’s identifying details, dates, line amounts and total. Keep a credit note distinct from the invoice it adjusts. Ask the accountant how foreign currency, mixed tax treatment and missing VAT details should be handled instead of forcing them into a default category.
Test one complete path
Where MTD for VAT applies, confirm the digital-link requirement across the actual tools used. Test a representative invoice and a correction all the way into the receiving package, then record who approves the result. A successful file download is not evidence that the accounting or submission step worked.
Yelnitax availability
Yelnitax is presented here as a document preparation product. This website does not submit VAT returns or MTD updates, and does not claim HMRC recognition or a live HMRC connection. Confirm supported exports and access before relying on a workflow.
